Your notebook. Your data.
The short version
- Your notebook is saved on your device first and synced to your account.
- Detailed app usage and beta screen recordings are separate, optional choices during first-time onboarding and in Settings › Analytics. Both stay off until you enable them. Basic usage counts have a separate preference and release availability. Technical error reporting is separate.
- Apple Health is optional. Daily summaries sync to your account; individual samples stay on your phone.
- When you use the AI coach, or turn on Help build the coach, relevant notebook, profile and enabled Health data can be sent to a model provider.
- Unless you opt out, anonymised notebook entries and coach conversations can help train and improve our AI. Health data does so only if you turn on Help build the coach, which stays off until you do.
- No ads, no data brokers, and no sale or sharing of your data for marketing.
Who is responsible
QuickLifts is made by NHSD, Niels Heisterkamp, in the Netherlands. For privacy questions, a copy of your data or a deletion request, email support@quicklifts.app.
What you save in QuickLifts
Account and preferences. Your email address or the identity Apple or Google shares at sign-in, plus your display name, language, units, app preferences and subscription status. Apple's private relay address works too. We never see your Apple or Google password.
Notebook. Workouts, exercises, sets, notes, templates and custom exercises, including the numbers the app reads from your entries.
Optional body profile. Sex (shown as Body in Settings), body weight and height. You can change or clear these in Settings. The coach uses them to personalise answers. Body weight also helps estimate calories when exporting a workout to Apple Health if Health has no weight available.
About your training. If you answer them, your year of birth, the year you started lifting, what you train for, how many days a week and how long you plan to train. You can change or clear them in Settings. The coach uses them to write your training, and, without your name or account and with age and training years in ranges, they can help improve our AI as described below. If you tell us you are under 16, your data is never used for that.
Coach conversations. Your messages, requests and answers are saved with your account so you can return to them. See AI coach for what is sent to a model provider.
What your app runs. When the app syncs, it reports a random install ID, the app version and update, your phone's operating system version and its model, such as iPhone 16. This tells us which app versions can still sync and which phones and system versions to support. It is never the name you gave your phone. This is needed to run sync, so it does not depend on your analytics choices. We keep it while the install syncs and delete it a year after it last did, or with your account.
Apple Health is optional
On iPhone, you can enable Health during setup or in Settings › Health and choose the permissions you grant. It is off until you enable it. There is no Health integration on Android or the web.
QuickLifts can read sleep, resting heart rate, heart rate variability, steps and body weight. Individual samples stay on your phone. Daily summaries sync to your account, including the values, source names supplied by Apple Health (which may contain a device owner's name) and a confidence assessment.
These summaries power your notebook tiles, readiness information and Trends. When you use the coach, relevant summaries and readiness information can also be sent to its model provider. Health values are not included in product usage events.
Switching Health off clears imported Health values on your phone and, after sync, in your account. This does not erase information already included in saved coach conversations or the separate coach diagnostic copies described below.
Apple Watch
With QuickLifts Coaching, the Apple Watch app reads the watch's motion sensors and heart rate during a session, to count reps, gauge how hard a set was and tell when you have recovered between sets. The raw sensor data stays on the watch. Per-set summaries, a rep count and a few heart-rate figures, are stored with the workout in your account, and the coach sees them: like the rest of your training history, they can be sent to its model provider when you use it. Without the subscription the watch keeps no per-set summaries. With or without it, a session run on the watch is saved to Apple Health as a workout with its heart rate, once you allow Health on the watch.
Analytics: what we learn from app use
Basic usage counts
Settings › Analytics › Basic usage counts controls a separate, limited measurement mode. Collection is not enabled in current builds; the app shows when it is unavailable. Its preference starts on unless you previously declined usage sharing, and can be turned off at any time. The preference is saved with your account, separately from the counters.
When available, this mode counts notebook, template and exercise-screen openings and settings changes. The app sends only short-lived counters to our own endpoint, without account identifiers, hashed account identifiers, session identifiers, event properties or individual event times. It does not send these counters to PostHog. Our database combines them into daily totals, with no individual event history. They cannot tell us how many distinct people used a feature or follow someone across sessions.
This does not make the network connection anonymous: hosting and network providers process connection information such as IP addresses. We must review that processing before enabling collection. Turning the preference off discards unsent counters and stops future submissions; totals already combined cannot be attributed back to your account. Detailed usage, recordings and technical diagnostics are separate.
Detailed app usage
Sharing detailed app usage is optional and off until you enable Settings › Analytics › Detailed app usage. We save your choice, its date and the explanation version with your account. Turning it off stops collection of new detailed app usage events; it does not delete previously collected data or disable technical diagnostics or basic counts if separately enabled. Your recording choice is independent. The app works without any of these optional choices.
We use PostHog, hosted in its EU region, to understand which features work well and where people get stuck. App analytics are linked to your account ID: they are not anonymous. They include app and device information, such as version and platform, and preferences such as language and weight unit.
We measure categories of activity, rather than the contents of your notebook:
- Getting started: sign-in method and outcome, onboarding progress, permissions and first-use milestones.
- Using the notebook: opening screens, creating and finishing workouts, using templates, changing chart views and counts of exercises or sets.
- Using the coach: opening conversations, sending requests, accepting suggestions, response times and notification interactions.
- Settings, purchases and sharing: app preference changes, subscription steps, feedback type and whether creating a share link succeeded.
- Apple Watch: which kind of command the watch sent, such as starting a workout, logging a set or resting, and for a logged set whether the watch had counted its reps. Never the text of your notebook, and no numbers.
- Health imports: whether an import completed, how many samples and days it covered, but not the health measurements.
- Sync reliability: failures and recovery, the operation and table involved, broad error categories, database error codes, connection status and pending-change counts, but not row contents or server error messages.
These product events do not include your name, email, notebook text, exercise names, coach message text or body-profile values. We do not automatically turn every tap into a product event. Error reporting and screen recordings are separate, as explained below.
On the public homepage, PostHog counts page views without cookies, account profiles, automatic interaction capture or screen recordings. The beta signup page does not run a page tracker; server errors can still be reported.
Errors and diagnostics
To investigate crashes, failed requests and other technical problems, we also send error reports and diagnostic logs to PostHog. These can include error messages, stack traces, app and device details, request context and your account ID when available. Unlike the limited product events above, error reports can contain details included by the failing component.
Screen recordings during the beta
Screen recordings help us understand confusing screens and broken interactions during the beta. They are sent to PostHog only after you choose to share them. Declining does not limit your access to the beta. We save your choice, its date and the version of the explanation with your account.
Text and images are masked by default, and Health tiles and charts are additionally marked to be hidden. Only individually selected, general interface text may be made visible; personal notes, coach messages, sign-in details and Health values are not intentionally unmasked. Masking happens on your device before the recording is sent. Layout and interactions remain visible.
To start or stop future recordings, use Settings › Analytics › Share beta recordings. There is no automatic recording prompt on launch. This switch does not change your app usage choice or disable error reporting, or delete recordings already sent.
AI coach
When you use the coach, your request and relevant training history are sent through an AI gateway to a model provider. The coach can retrieve more notebook context to answer you. If provided, your body profile and relevant Health summaries can be included too. Using only the free notebook does not send it to a model provider, unless you turn on Help build the coach as described under Improving our AI.
We keep separate diagnostic copies of model requests and responses on our servers for 30 days to investigate answers and costs, then delete them. These can contain the personal information included in the request. They are restricted to server-side access and are not product analytics. Your saved conversations are separate and are not covered by this 30-day deletion period.
Improving our AI, and how to opt out
Unless you opt out, we may use your notebook entries and coach conversations to train, test and improve the AI behind QuickLifts, such as the coach. We do this on the basis of our legitimate interest in making the coach better, and you can object at any time.
Health data, only if you agree. Apple Health data, Apple Watch readings, how you said you felt and your body profile are never used to train or improve our AI unless you turn on Help build the coach. That switch is off until you turn it on, and we rely on your explicit consent for it. With it on, we use daily summaries rather than individual readings, and body measurements in ranges rather than exact values, after removing everything that identifies you. Saying no changes nothing else in the app: Health, its tiles and readiness work the same either way. You can turn it off at any time and we then stop using this data. We never give Health data to others to train their models.
Testing the coach on your training. If you turn on Help build the coach, when you finish a session we may let the coach write a review and a next session for it in the background, to test the coach before it is offered to you. You do not see this and nothing is sent to you. It can read what the switch covers: your training, notes, how you said you felt, your body profile and Health summaries. They are sent through our AI gateway to a model provider that may not use them for its own training, the result is kept on our servers for 90 days, and only our team can read it. We rely on your explicit consent, which you withdraw by turning the switch off.
How it is protected. Before your data is used this way, we remove your account ID, name, email address and other details that identify you, and we edit or combine it so that it can no longer be linked back to you or your account. We do not sell it or give it to others to train their models.
Opting out. Turn off Settings › Privacy › Help improve the coach in the app. We save the choice with your account, so it applies on every device you sign in on, and you can turn it back on at any time. You can also email support@quicklifts.app from your account address and we will turn it off for you. From then on, new notebook entries and conversations are not used. Feedback you choose to send us about a coach answer can still be used after it is separated from your account.
What stays. Opting out or deleting your account does not remove anonymised data from data sets or models already made with it. Once data can no longer be linked to you, it is no longer personal data, so the access and deletion rights below do not cover it.
Sharing, feedback and notifications
Workout links. Creating a share link makes the shared workout information available to anyone with that link, including any notes or progress history you choose to include. Treat it as public. Revoking a link cannot remove copies or previews someone has already saved.
Feedback. When you send feedback, we store your message, feedback type, account and technical context such as app version and device details. A screenshot is included only if you choose one. Feedback may be delivered to us through Resend email and Slack, including your contact details and any attached screenshot.
Notifications and dictation. Rest timer notifications are scheduled locally. Coach push notifications use a device notification token. If you dictate a line, Apple's or Google's speech recognition turns audio into text; depending on your device and language, their servers may process it under their privacy policies.
Beta signup
We store your email, chosen platform, access status and signup, invitation and notification dates in Supabase to arrange testing, not for marketing. Resend sends confirmations; we keep send-attempt dates and its email ID to troubleshoot delivery and prevent duplicates. Your email is shared with Apple for TestFlight or Google for Google Play testing. Ask support@quicklifts.app for a copy or removal of your signup.
Where data lives and who processes it
Your notebook is written to a local database first. When you are signed in and online, changes sync to your account. Data in transit is encrypted, and account access controls separate your private records from other accounts.
- Supabase: sign-in, synced account data and feedback attachments.
- Vercel: website, web app and server endpoints.
- PostHog, EU region: product analytics, diagnostics and beta screen recordings.
- Apple and Google: optional sign-in, app distribution, purchases, beta access and device services.
- RevenueCat: subscription status, using your account ID and store purchase records, not your notebook. See its privacy policy.
- AI gateway and model providers: the coach requests and context described above.
- Resend and Slack: beta emails and support feedback as described above.
Signing out does not erase the local copy on your device. On the web, clearing site data removes the browser's copy, not your account. Removing local data before it has synced can permanently lose those unsynced changes.
Keeping and deleting data
Your account holds your profile, notebook and saved coach conversations while you use the service. Deleting a workout, template or custom exercise hides it from your notebook and marks it as deleted for sync; it does not immediately erase every stored copy of that record.
Separate coach request and response diagnostics are deleted after 30 days. What the coach writes in the background under Help build the coach is deleted after 90 days. That period does not apply to PostHog events, error logs or screen recordings. For questions about those records or to request their removal, contact us.
Delete your account or get a copy
In the app, open Settings › Account › Delete account. It deletes the account and the data stored under it straight away: your notebook, templates, custom exercises, settings, coach conversations and coach memory, and your daily health summaries. Workout links you published stop opening, and the copy on that device is erased. It cannot be undone, and it does not cancel a QuickLifts Coaching subscription, which you cancel in the App Store or Google Play.
You can also email support@quicklifts.app from your account address, or tell us which sign-in method you use. We may need to verify that the account is yours. You can request a portable copy of your data or deletion of your account and its stored data; we handle a deletion request by email within 30 days.
Data on your own devices must also be removed by deleting the app or clearing the site's browser storage. Signing out alone is not deletion.
Your rights
We use your account and notebook data to provide the service you signed up for. If you are in the European Economic Area or the United Kingdom, applicable data protection law gives you rights to access, correct, erase and receive a portable copy of your data, and to restrict or object to processing. Which rights apply depends on the processing and its legal basis. Where processing relies on consent, you can withdraw it.
Contact support@quicklifts.app to exercise your rights. You can also complain to your data protection authority, including the Dutch Autoriteit Persoonsgegevens.
Children and changes
QuickLifts is not directed at children under 16. If you believe a child has an account, contact us so we can delete it.
We update the date at the top when this policy changes and announce material changes in the app.
